Reflect Photo (“we,” “us,” “our”) respects your privacy. This policy explains what information we collect, how we use it, and the choices you have. It applies to reflectphoto.studio and any booking, communication, or gallery delivery associated with a Reflect Photo session.
This document does not cover how we use client photos for our own marketing. That’s addressed separately in the Photo Usage and AI Editing section of our booking terms, which every client agrees to at the time of booking.

Information you give us directly:
- Name, email address, and phone number when you book a session or contact us
- Session location and scheduling preferences
- Payment information, processed through our third-party payment processor (we do not store full card numbers)
- Any details you share about your family, session preferences, or special requests

- Basic website usage data (pages visited, general location by IP, device type) through standard analytics tools
- Cookies used for site functionality and analytics
We do not knowingly collect more personal information than what’s needed to plan, deliver, and follow up on your session.
How we use your information
We use your information to:
- Communicate with you before, during, and after your session (scheduling, session-day details, gallery delivery)
- Process payment for your session
- Send you your photo gallery and any related keepsake or print materials
- Notify past clients when mini session dates open, if you’ve booked with us before
- Improve our website and client experience
- Meet legal and tax obligations
We do not sell your personal information to third parties.
Third-party service providers
We work with a small number of outside services to run our business, including:
- A payment processor to handle transactions securely
- A gallery delivery platform to share your photos
- Email tools to send booking confirmations and, if you opt in, occasional updates
- Photo editing software, including AI-assisted editing tools (see below)
Each of these providers only receives the information needed to perform their specific function and is bound by their own privacy and security practices.

We retain booking and contact information for as long as needed to provide our services, maintain business records, and comply with tax and legal requirements. Photo galleries are retained according to the terms outlined at booking and may be archived or removed after a set period.

Photos of minors
If your session includes children, the booking adult is responsible for providing consent on behalf of any minors in the session, including consent for the photo usage terms outlined in our booking agreement.
